Make each leg a complete brief
For every movement, record the local date, local pickup time, city, exact pickup and destination, passengers, bags and contact. Number the legs so a later change refers to a clear part of the itinerary.
A flight that departs one day may arrive on the next. Use the arrival date in the destination city and include the flight number. Do not copy a calendar time without checking which timezone it represents.
Expect local differences
Airport access, meeting points and vehicle equivalents differ between destinations. PRT coordinates with licensed local chauffeurs and affiliate operators, while the desk remains the contact for the quote and arrangements.
A listed destination is a starting point for an enquiry. Availability, class and special requirements are checked for your dates; the same car or chauffeur across cities should never be assumed.
Protect the connections
Identify flights, trains and meetings that cannot move. Allow time for airport processing, luggage, local traffic and reaching the correct entrance. Ask the desk to review a tight connection rather than treating an online travel-time estimate as a guarantee.
If a flight or earlier leg changes, explain which later legs could be affected. The desk needs enough information to check revised arrangements and any change in price.
Review the itinerary as a whole
Match every requested leg with the written confirmation. Check local times, meeting instructions, traveller contacts, vehicle classes and conditions. A tentative calendar file or saved website enquiry is not a confirmed booking.
Enter the first pickup, then choose Add another leg for each additional movement. Include its pickup and destination, local date and time zone, passengers and luggage. Use Remaining itinerary for any further context. The desk reviews the full request before confirming the movements.
